Before a room appears on Co-Erasmus, the user creates a profile, lists their room, and submits institutional proof such as a student ID, enrollment certificate, exchange confirmation, or university-related document.

Students can message different people before deciding. Once both sides commit, each person can only have one active swap during their exchange period. This helps avoid double-booking and last-minute confusion.
